Better File Cabinet Organization

Most people at home and at the office have file cabinets which are in disarray when it comes to organization. The problem is often worse in cases where the file cabinet is large because entire drawers end up becoming black holes of archived paperwork which is often forgotten about and unneeded. What most people need to take the time to better organize their black file cabinets, purge old documents, and delineate paperwork for easy reference and use.

Luckily the entire process is not hard. The toughest part is going through old documents and deciding what to purge and what to keep. Because cabinet drawers have filing rails it is relatively easy to section off your cabinet for various archival purposes. Once you determine the overarching structure and of your filing system it’s just a matter of moving paperwork around to fit your new organizational method.

One excellent way to achieve better file cabinet organization is to section your paperwork into three categories, one for each file cabinet section or drawer. Identify an archival section where all the paperwork is merely kept for archival purposes. You will also want to identify a timeframe for archival because not everything has to be kept indefinitely.

Next identify a group of documents merely kept for reference purposes. These are documents that don’t necessarily have to be kept but are referenced often and regularly. Lastly working files and documents belong in the upper most section of your cabinet for easy access. Once these document projects are completed then the file should be purged or transferred to the archival or reference sections of your filing cabinet as appropriate.

Remember, the bain of most bad filing systems is disorder and over-archival material. Be honest with yourself, what really needs to be kept? In most cases documents for archival purposes are never referenced again so if you are in doubt you probably don’t need it. If you can get into the habit of purging and keeping this order in place then your filing cabinet should rarely if ever put any more stress in your life.
